Reporting to the Volunteer Communications & Engagement Manager, the Volunteer Communications and Engagement Coordinator will play a key role in shaping the volunteer experience for thousands of volunteers across the eight host cities. You will help integrate, craft, and deliver inspiring, informative, and consistent messaging that keeps our volunteers engaged and connected throughout their journey — before, during, and after the tournament.
KEY RESPONSIBILITIES
- Support the daily operations of the Volunteer Communications and Engagement team by assisting the Communications & Engagement Manager with internal and external deliverables. Responsibilities include, but are not limited to, copywriting emails, dashboards, articles, and newsletters in both English and Portuguese; updating communications on the volunteer platform; coordinating content for social media and internal channels; and providing additional support as needed.
- Update and maintain the Volunteer Platform (Volunteer Management System) according to the communication needs of each Volunteer journey milestone, ensuring all content and templates are accurate and ready for use.
- Contribute to the development and execution of communication strategies that foster volunteer engagement across all phases of the programme. From application, recruitment, role offer, training until the end of the tournament and their participation.
- Support the design and delivery of a comprehensive volunteer engagement strategy, including key messaging and content pillars aligned with the tournament’s values.
- Support the development and delivery of the Recognition Programme, including overseeing orders and brand approvals for volunteer gifts.
- Draft and edit compelling content, including volunteer guides, FAQs, and platform updates, tailored for internal platforms, social media, and volunteer contact centres.
- Coordinate content production, including graphic design requests and translation workflows (English, Portuguese).
- Create editorial content for key channels such as the FIFA Volunteer Instagram, FIFA Home, and the FWWC2027 Volunteer Newsletter.
- Assist in planning and executing volunteer events and promotional activities that build community and enhance the volunteer experience.
- Provide administrative and project support across the Volunteer Communications team and collaborate with cross-functional stakeholders as needed.
- Support planning and development of a content plan for the different milestones.
- Coordinate and support the collection, curation, and writing of volunteer profiles, stories, captions, and visual narratives for the “Volunteer Profile Bank”, capturing content from volunteers in all eight host cities.
- Help organize and coordinate volunteer participation in media activities, interviews, and events.
- Organize, curate, and maintain an updated library of volunteer-related assets (brand identity files, photos, videos, templates, guidelines, etc.).
- Ensure all assets are easy to locate, properly labelled, and accessible to the team.
- Bachelor's degree in Communications, Public Relations, Marketing, Project Management, or related field, or similar level of higher education
- Minimum 2-3 years of experience in a communications function
- Experience in operating a Volunteer Management Platform or CRM
- Effective communication and interpersonal skills, both oral and written
- Ability to see the big picture and adapt accordingly
- Ability to work under pressure and meet deadlines
- Demonstrates strong attention to detail in all tasks and deliverables
- Previous professional or volunteer experience in major sports events is highly desirable
- Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project), planning software, and online collaboration tools
- Knowledge of HTML coding is a plus
- Design skills and proficiency with design suites (e.g., Adobe Creative Cloud, Canva, Figma), as well as content creation apps such as CapCut and SCRL, are considered an asset
- Right to work in Brazil.
- Fluent in English (spoken and written)
- Fluent in Portuguese (spoken and written)
- Ability to re-locate to Rio de Janeiro.
