We are currently recruiting two Guest Relations Assistants:

- Position 1: From as soon as possible until 31 October 2028
- Position 2: From mid-January 2027 until 15 September 2028

Main goal

The Guest Relations Assistant is responsible for maintaining a good relationship between UEFA and its VIP guests by managing invitations to UEFA events and acting as the key point of contact for specific internal divisions, guests and operational teams. The role also involves providing guests with best-in-class support to register for UEFA events, ensuring that all services are booked according to the appropriate service levels and the data sent to service providers is accurate. In addition, the Guest Relations Assistant provides administrative and logistical support to the Guest Management & Protocol team and helps them with event preparation tasks.

Key responsibilities

• Managing UEFA VIP guest groups and constantly working towards service excellence
• Compiling guest lists based on information provided by the relevant UEFA divisions and according to service quotas
• Understanding guest service levels and stakeholder structures to handle requests and bookings accordingly
• Nurturing UEFA’s relationship with its key stakeholders
• Acting as a key player in the implementation of VIP guests' journeys at UEFA events, anticipating their needs and providing the appropriate information at each touchpoint
• Sending out invitations through UEFA’s football administration and management system (FAME), and assisting guests as necessary during the registration process
• Being responsible for the whole invitation management process for selected VIP guests, ensuring the information provided to those guests is complete and accurate, collecting responses in a timely manner and following up when needed
• Ensuring target group owners are constantly updated on the invitation status of their VIP guests
• Reporting and sharing relevant statistics on invitations with the event and VIP ticketing and event leads when required
• Liaising with target group owners on special arrangements for VIP guests, in accordance with the defined service levels
• Collecting data on individual guests
• Confirming guests’ registrations and service bookings
• Verifying data accuracy
• Staying up to date on guest-related services and operational aspects of events and keeping the relevant UEFA divisions informed
• Managing last-minute changes and requests
• Following up on no-shows
• Following up with guests after events and resolving any problems
• Helping UEFA’s event planning team with administrative tasks
• Supporting on-site operations when required
• Assisting with guest management projects, when required
• Providing support to the Protocol & Guest Experience Manager as well as the overall project lead as required
• Assisting on VIP projects that deal with the overall guest experience

Requirements

Experience:

- 1 to 3 years' experience working in guest management or managing guests and bookings for a travel/tourism agency
- less than 1 year experience working with CRM systems

Education:

- Bachelor's degree in hospitality or event management

Languages:

- English / Proficient

Other requirements:

- Relocation to Switzerland/France is expected
- MS Office / Advanced
- Service-minded and solutions-oriented attitude
- Travel to events may be required
- Proactive mindset, able to anticipate and act
- Team player
- Any other language would be a plus but is not mandatory
