The Venue Operations Coordinator will support the Venue Operations team by providing centralized administrative and coordination support across the Venue Operationsdepartment.
The role will contribute to the effective planning, integration, and delivery of venue operations across multiple sites, ensuring alignment between stakeholders, consistency in processes, and high-quality reporting. This position requires a highly organized and detail-oriented professional with strong analytical capabilities, particularly in the development of reports, dashboards, and executive presentations.
KEY RESPONSIBILITIE
- Provide centralized coordination across all venues, ensuring alignment of processes, timelines, and operational standards between headquarters and venue teams.
- Deliver comprehensive administrative and operational support, including management of documentation, scheduling, reporting, and tracking tools, enabling Venue Managers to focus on core operational delivery.
- Manage information flows across functional areas and stakeholders, ensuring timely distribution of updates, guidelines, and key operational communications.
- Develop and maintain trackers, dashboards, and reports to monitor deliverables, milestones, and overall project progress across venues.
- Support planning processes, including timeline management, milestone tracking, and follow-up on key actions and dependencies.
- Coordinate venue readiness activities, including site visits, stadium inspections, workshops, test events, and readiness reporting.
- Organize and support meetings, working groups, and cross-functional workshops, including agenda preparation, documentation, and follow-up of action points.
- Support risk and issue management processes by maintaining risk registers, issue logs, and tracking mitigation actions across venues.
- Ensure effective knowledge and document management, including version control and organization of operational plans, SOPs, and key documentation.
- Prepare high-quality presentations, reports, and briefing materials for senior leadership and stakeholders
- Assist in the coordination and integration of Venue Management, Fan Services, and Catering operational plans within the overall venue operations framework.
- Bachelor’s degree in Business Administration, Event Management, Engineering, or a related field.
- Previous experience in administrative or coordination roles within complex operational environments (e.g., major events, sports, hospitality, or large-scale projects).
- Advanced proficiency in Microsoft Excel and PowerPoint (essential).
- Strong experience in data consolidation, reporting, and presentation development.
- Experience working in cross-functional and multi-stakeholder environments.
- Familiarity with project management tools (e.g., Monday.com) is an advantage.
- Experience in major international sporting events is considered a plus.

- Ability to re-locate to Rio de Janeiro.
